Administrative Assistant -
Utica

SALARY RANGE: Grade: 3
- $43,870 to $49,034
Starting salary is determined by evaluation of experience and qualifications for the position.
JOB SUMMARY: This position is responsible for providing administrative support to the departments:
Human Resource, Maintenance, Operations, and the Centro Oneida Hub. This position is non-exempt
HOURS: Monday through Friday, 8:00am to 4:30pm
DUTIES: - Performs customer service duties such as providing information to customers, pass sales, bus passes, recording of daily and monthly sales activity.
- Create and distribute Veteran Id’s and Reduced Fare Id’s and applications as needed.
- Duties described above will be performed at both the Utica Main office and the Oneida Hub when the Hub Customer Service window is open.
- Performs physical count of fare collection (money room) and properly records daily sales for all busing services in Utica and Rome including Call-A-Bus and MOVE.
- Quotes and fills bus pass orders for agencies and individual customers and properly maintains records of all sales including preparing bank deposits and timely reporting to Revenue Collections.
- Assists with the Vesid and College pass programs.
- Distributes paychecks on Thursday prior to 10:00 am.
- Responsible for maintaining inventory and ordering office supplies and maintaining equipment for the Oneida division.
- Responsible for the ordering and billing for the Operators uniforms and any unique garment fulfillments as required by contract.
- Issues mailboxes and keys to the Oneida employees.
- Acts as a backup for Office Supervisor in reconciling Global gas receipts for the monthly billing and submits to the Accounting Department for payment.
- Acts as a backup support for Office Supervisor in facilitating FMLA, disability and compensation paperwork as requested by all departments supported by the position.
- Assists personnel with verifying FMLA status.
- Creates and maintains personnel files.
- Responsible for managing lost and found items in compliance with Centro’s Lost and Found Procedures
- Supports Operations department in investigating customer complaints and video observations.
- Audits driver vehicle inspection reports and follows up with operations for corrections.
- Perform clerical duties such as filing, typing, copying, etc.
- Performs other related duties as assigned.
REQUIREMENTS: Education/Experience: High School Diploma/GED required. Applicable experience preferred.
- Knowledge of Authority policies and procedures.
- Knowledge of contemporary office practices and procedures.
- Skill in maintaining reports and files.
- Skill in operating a computer, calculator, copier, facsimile machine, and other office equipment.
- Skill in interpersonal relations.
- Skill in oral and written communication.
- Ability to speak clearly and communicate politely and professionally with the public in person and over the phone.
